Which means the competitive edge here doesn&#8217;t sit in your ad budget \u2014 it sits in who picks up the phone or opens the DM first.<\/p>\n<p>Businesses usually measure cost per lead, less often conversion to deal, and almost never time to first response. Yet that metric moves results more than most of what gets configured inside an ad account.<\/p>\n<h2>Three Studies Worth Relying On<\/h2>\n<p>This topic is full of figures with no traceable origin, so let&#8217;s start with the ones that come with described methodology.<\/p>\n<p><strong>MIT and InsideSales (2007, James Oldroyd).<\/strong> Six companies, over 15,000 leads, more than 100,000 call attempts across three years. Only 7% responded within 5 minutes. 55% hadn&#8217;t responded within five business days.<\/p>\n<p>Note that three studies from different years using different methods converge on one conclusion: the gap between how fast customers expect a reply and how fast companies actually reply is enormous.<\/p>\n<h2>One Figure Better Left Uncited<\/h2>\n<p>Articles about response speed routinely repeat the claim that &#8220;78% of customers buy from whoever responds first.&#8221; It sounds convincing, appears on hundreds of sites \u2014 and has no traceable primary source.<\/p>\n<p>The same applies to striking percentages like &#8220;+391% conversion for replying within a minute&#8221;: the origin of those numbers usually isn&#8217;t stated anywhere.<\/p>\n<p>The only properly documented first-responder advantage is the sevenfold qualification lift from the HBR study. That&#8217;s the one worth using in your calculations.<\/p>\n<h2>Why the First Minutes Specifically<\/h2>\n<p>The mechanism is simple and has nothing to do with sales psychology. Someone who submits an enquiry almost never submits it in only one place. They opened three or four competitor tabs and wrote to everyone.<\/p>\n<p>What follows isn&#8217;t loyalty, it&#8217;s sequence. Whoever replies first frames the conversation: quotes the price, asks the questions, sets the next step. Everyone else lands in the &#8220;we do the same thing, only cheaper&#8221; position \u2014 the worst one available.<\/p>\n<p>The second factor is the person&#8217;s state at the moment of enquiry. They were just thinking about your problem; the context is fresh. Two hours later they&#8217;re in a meeting, in the evening they&#8217;re with their kids, and by the next morning they don&#8217;t remember you.<\/p>\n<h2>Messengers Made Expectations Harsher<\/h2>\n<p>A form submission is still a semi-formal channel where people assume a reply might come &#8220;sometime today.&#8221; A message in Instagram Direct feels different: <a href=\"https:\/\/leadresponse.co\/blog\/instagram-dm-statistics\">75% of consumers want to message businesses the way they message friends<\/a>, and 72% are more likely to buy from brands that offer messaging.<\/p>\n<p>Technically it&#8217;s a very strong channel: DMs see around 90% open rates versus roughly 20% for email, and reply rates up to 60% against 1-5% click-throughs on newsletters.<\/p>\n<p>The problem is that expectations there are also &#8220;friend-like&#8221; \u2014 meaning minutes, not hours. A company replying to a DM the next day behaves, from the customer&#8217;s point of view, as oddly as an acquaintance who reads your message and stays silent for a day.<\/p>\n<h2>Where Enquiries Actually Get Lost<\/h2>\n<p>When we at Netloria dig into why a client&#8217;s advertising &#8220;isn&#8217;t working,&#8221; the same picture repeats from project to project. You pay for a click at 11:40pm exactly as you do for one at 11am \u2014 but you handle them very differently.<\/p>\n<h2>What You Can Fix Without Any Automation<\/h2>\n<p>Before implementing anything, it&#8217;s worth removing the simplest losses. Often that alone produces a visible difference.<\/p>\n<ul>\n<li><strong>Measure your real response time.<\/strong> Not the one that feels right, the actual one: take the last twenty enquiries and count the minutes from arrival to first reply. The number is usually an unpleasant surprise.<\/li>\n<li><strong>Turn on phone notifications<\/strong> for every channel, not just email.<\/li>\n<li><strong>Agree on a first-reply rule.<\/strong> Even &#8220;Hi, got it, I&#8217;ll confirm within 20 minutes&#8221; holds someone far better than silence until a complete answer is ready.<\/li>\n<li><strong>Pull advertising out of the hours nobody covers<\/strong>, if you&#8217;re not ready to cover them another way. It isn&#8217;t the best solution, but it&#8217;s more honest than paying for enquiries that will burn.<\/li>\n<\/ul>\n<p>The first-reply rule delivers the biggest effect at zero cost.<\/p>\n<h2>What to Put in That First Automatic Reply<\/h2>\n<p>If you&#8217;re not ready for full automation but want to close the silence, what the person sees matters. The standard &#8220;Thank you for your enquiry, we&#8217;ll be in touch shortly&#8221; doesn&#8217;t work: it carries no information and reads like an answering machine promising nothing.<\/p>\n<p>A working first reply contains three things: confirmation the message arrived, a specific timeframe, and one useful action available right now. For example: &#8220;Got your question. A manager will reply by 10am. If it&#8217;s urgent, here&#8217;s a direct number. Meanwhile, here are some examples of our work.&#8221;<\/p>\n<p>The difference is that the first version asks people to wait for an unknown period, while the second gives them both a frame of expectation and something to do. That lowers the odds they&#8217;ll message a competitor while waiting.<\/p>\n<h2>What an Hour of Silence Costs<\/h2>\n<p>You can estimate the losses roughly, and even a crude calculation usually persuades better than statistics from somebody else&#8217;s research.<\/p>\n<p>Take the number of enquiries arriving outside working hours per month. Multiply by your usual enquiry-to-sale conversion and your average order value \u2014 that&#8217;s the ceiling of what passes through that window. Then estimate what share of those you actually close now, replying the next day.<\/p>\n<p>The gap between those two numbers is the price of silence. A bot shouldn&#8217;t negotiate pricing on a bespoke project, promise timelines nobody confirmed, or pretend to be human when asked directly. It also shouldn&#8217;t become a wall between the customer and the company: if someone asks for a manager twice, the conversation goes to a manager rather than another round of clarifying questions. The worst scenario looks like this \u2014 a customer with a specific question spends five minutes fighting through a polite assistant, gets no answer, and leaves for a competitor already irritated. That bot does more damage than simply having no reply until morning.<\/p>\n<p>The working frame is simple: automation covers routine and holds the contact until a human appears \u2014 it doesn&#8217;t replace the human.<\/p>\n<h2>How to Measure and Keep Control<\/h2>\n<p>One metric worth putting into regular reporting is median time to first response, split by channel. Median specifically, not average: a single reply after two days will skew the average and hide the real picture.<\/p>\n<p>Beyond that, look at the share of enquiries that never got any reply, and at the distribution of enquiries by hour of day.
